PRACTICAL VISIT PLANNING

How to add travel time buffers to a visit schedule

Travel estimates describe one part of the journey. A usable appointment schedule also allows for finding the entrance, checking in, meeting the contact and recording the result.

Separate driving from arrival preparation

Record the estimated travel leg and the arrival allowance separately. A map may estimate a drive to the address while your appointment begins at a reception desk several minutes away. Ask about parking, loading areas, security procedures or the correct entrance before deciding the allowance. An estimate is not a promise of live traffic conditions.

Use a simple departure calculation

Latest departure equals appointment start minus estimated travel minus arrival preparation. For a 10:00 meeting, a 25-minute drive and 10-minute arrival allowance suggest leaving by 09:25. If you also choose a 10-minute uncertainty buffer, plan to leave at 09:15. These are illustrative inputs; choose allowances that fit the actual site and your experience.

Place slack where it can help

Protect fixed appointments first. An uncertain site visit before a tightly timed meeting needs more flexibility than a familiar short stop near the end of the day. Avoid hiding every allowance inside a single travel number: separate values help you see whether delays came from the road, site access or the meeting.

  • Use your own observed durations for familiar sites.
  • Allow for first visits and unfamiliar entrances.
  • Keep a flexible stop or open period when the day contains uncertain meetings.
  • Plan breaks explicitly instead of relying on spare driving time.

Replan when the assumptions change

If a meeting runs late, calculate the next arrival again and contact the affected person through the agreed channel. Do not compress every remaining visit to preserve the original appearance of the schedule. Move a flexible appointment with agreement or reduce the remaining stops. Make changes while safely parked.

Improve estimates after the day

Compare planned travel, arrival and meeting time with what you observed. A recurring ten-minute reception delay belongs in the next plan. Review the pattern across several days before drawing conclusions from one unusual trip. XmartRouter supports estimated route scheduling; connected route-provider availability depends on the workspace configuration and does not turn an appointment into a confirmation.
