PRACTICAL VISIT PLANNING

Confirm client visits without losing the details

A clear confirmation gives both people the same understanding of the visit. Keep proposed times separate from accepted appointments and record changes where the day’s plan can be reviewed.

Agree on the essentials

Check the date, local time, full meeting location, expected duration and reason for the visit. Include the time zone when people are arranging the meeting from different places. A venue address alone may be insufficient for a large property or facility; ask which entrance or reception desk to use.

  • Who is attending, and who can approve a time change?
  • Where should the visitor park or meet the contact?
  • What preparation or materials are expected?
  • Which channel should be used for delays or cancellation?

A confirmation message you can adapt

Use this as a draft and replace every bracketed detail before sending it through an agreed channel. “Hello [name], please confirm our [purpose] visit on [date] at [time and time zone]. We will meet at [address and entrance] and expect to finish by [time]. Please let me know about access requirements or a change of plan. You can reach me at [agreed contact method]. Thank you, [name].” A request for confirmation remains proposed until the recipient agrees.

Keep the response with the appointment

Record the agreed details and the time of the latest confirmation. If someone changes the meeting point in a separate conversation, update the working schedule before sharing it again. Use a clear status such as proposed, confirmed, reschedule requested or cancelled. A message draft, contact note or copied link is not evidence that a notification was sent or received.

Handle a late arrival or cancellation

When a delay becomes likely, review the next appointment and contact the person through the agreed channel. Give an updated estimate and ask whether the revised time still works. If a visit is cancelled, decide whether to use the gap for notes, preparation or a flexible stop whose contact has agreed. Do not treat an unconfirmed replacement as a booked appointment.

Send a focused follow-up

After the visit, summarize the decisions, unanswered questions, next action, responsible person and intended date. Keep private client information in the appropriate workspace and share only what the recipient needs. XmartRouter helps organize visit context and follow-ups; check the actual communication channel before assuming that saving a record has delivered a message.

  • What was agreed during the visit?
  • What information still needs to be checked?
  • Who will act next, and by when?
  • Does the next visit need its own confirmation?
