PRACTICAL VISIT PLANNING

How to build a realistic daily visit plan

A useful visit schedule fits the time you actually have. Start with confirmed appointments, leave room for travel and preparation, and give every visit a clear next step.

Start with your fixed commitments

Write down your start location, finish location, working hours and any appointments that cannot move. For each stop, record the contact, full address, meeting objective, expected visit length and allowed arrival window. Separate confirmed appointments from proposed stops so an open calendar slot does not look like an agreement.

  • Confirm the entrance, parking and person you are meeting.
  • Include preparation, check-in and time to record notes.
  • Keep breaks and the return journey inside your working day.

Calculate the whole stop, not just the meeting

A stop occupies travel time plus arrival preparation, the visit itself and follow-up notes. A 30-minute meeting with 20 minutes of driving and 10 minutes for parking and notes uses one hour. Group nearby stops only after checking their appointment windows. The shortest driving sequence may not fit the people you need to see.

A worked morning schedule

This fictional example uses entered travel estimates. It reserves 180 minutes from 9:00 to noon, including three 30-minute visits, 60 minutes of travel and 30 minutes for preparation, notes and a break. It does not promise that a real route will fit these times.

Test the plan before you share it

Work backward from each fixed appointment. If the previous stop cannot finish early enough, shorten the visit only with agreement, move a flexible stop or remove it from the day. Reserve time after the final meeting for notes and the trip home; the example morning ends at the third appointment, not back at the starting point.

  • Check every arrival against its agreed time window.
  • Review travel estimates for the actual locations and transport mode.
  • Decide which flexible stop can move if the day runs late.

Close the day with evidence you can use

Record whether each visit happened, what remains open and who owns the next action. Compare planned and actual visit durations without assuming a faster day means a better result. Use the differences to adjust future estimates. In XmartRouter, choose an enabled professional workspace and review the saved schedule before acting on it.
